How RAF SOLID RENOVATION LTD looks after the personal information you share with us, in plain English. Last updated 19 October 2026.
Who we are
This website is run by RAF SOLID RENOVATION LTD, a private limited company, company number 15936447, with its registered office and place of business at Unit 3, Canal Wood Industrial Estate, Chirk, LL14 5RL. The director is Rafal Stepien.
We are the “controller” of the personal information described here. That means we decide how and why it is used. We provide joinery and building services: oak stair cladding, staircases, oak porches, extensions and home renovations.
What we collect
When you send us an enquiry
If you use the enquiry form, we ask for your name, email address, town or postcode and a description of your project, and optionally a phone number. You choose the service you are asking about.
If you call, send a WhatsApp message or email us, we receive what you send: for example your name, phone number or email address, your address or location, photographs of your home, measurements, plans and anything else you choose to tell us.
When you become a customer
We keep the details needed to carry out and invoice the work, such as your name, address, contact details, what was agreed, quotes, invoices and payment records.
When you visit the website
Our hosting provider records standard technical information when a page is requested, such as your IP address, the date and time, the page requested and your browser and device type. We do not use this to identify you personally and we do not build profiles from it.
We do not ask for sensitive “special category” information. Please do not include it in your message. We do not knowingly collect information from children.
Why we use it
The law (UK GDPR and the Data Protection Act 2018) requires us to have a lawful basis for each use. Ours are:
- To reply to your enquiry and prepare a quote. This is taking steps at your request before a contract, and our legitimate interest in answering people who contact us.
- To carry out and administer a job. This is performing a contract with you.
- To keep accounting, tax and other records. This is a legal obligation.
- To keep the website working and secure, and to deal with problems or disputes. This is our legitimate interest in running a safe website and protecting our business.
We do not send marketing emails or texts, and we do not ask you to agree to marketing. We do not sell your information. We do not use it for automated decision-making.
Who we share it with
Your information is used by RAF SOLID RENOVATION LTD, including the director and anyone working with us on your project. We also use service providers that handle information on our behalf, only for the services described:
- Website hosting and delivery: Cloudflare, which serves this website and keeps technical request logs.
- Email: Google (Gmail), which delivers and stores the emails we send and receive at solidrenovationltd@gmail.com.
- WhatsApp: WhatsApp (Meta), if you message us there. WhatsApp handles your messages under its own privacy policy.
- Website enquiry form: Cloudflare validates and delivers the form submission to our Gmail inbox. The website does not maintain a separate enquiry database.
- Professionals: our accountant, and other advisers, subcontractors or suppliers where needed to carry out your job.
We may also disclose information where the law requires it, for example to HMRC, a regulator, the police or a court, or to protect our legal rights.
Transfers outside the UK
Some of these providers are based in, or process information in, other countries including the United States. Where that happens we rely on safeguards the UK law recognises, such as an adequacy decision or the UK International Data Transfer Agreement or Addendum, which each provider offers.
How long we keep it
- Enquiries that do not lead to work: only as long as needed to reply and deal with any follow-up, and no longer than is reasonable. We delete or anonymise them when they are no longer needed.
- Customer and job records: for the duration of the work and afterwards for as long as needed for guarantees, disputes and legal duties. Accounting and tax records are kept for six years, in line with HMRC requirements.
- Website request logs: kept by our hosting provider for a short period under its own settings.
Cookies and tracking
This website does not set cookies and does not use analytics, advertising trackers or social media tracking scripts. It does not embed third-party videos or maps. Videos on our pages are hosted on the website itself.
If this changes, we will update this policy and ask for your consent first where the law requires it.
Your rights
You can ask us to:
- tell you what information we hold about you and give you a copy;
- correct information that is wrong or incomplete;
- delete your information, where we have no good reason to keep it;
- restrict how we use it, or object to our use based on legitimate interests;
- give you the information you provided in a portable format, where this applies.
To make a request, email solidrenovationltd@gmail.com or call 07934 823363. We may need to check who you are first. We will reply within one month. There is normally no charge.
Security
This website is served over an encrypted connection (HTTPS). We keep information in accounts and devices protected by passwords and only people who need it can see it. No method of sending or storing information is completely secure, so please avoid sending anything highly sensitive.
Other websites
Our pages link to other sites, including WhatsApp, Facebook, YouTube and our website designer, WebAmber. Those sites have their own privacy policies and we are not responsible for them.
Changes to this policy
We may update this policy from time to time. The date at the top shows when it was last changed.
